Storage Size/Dimensions: Minimum 200 square feet, ideally 20ft x 10ft, with a height clearance of 9 feet. A dedicated area of 12ft x 12ft (144 sq ft) is recommended for efficient organization.
Storage Conditions: Dry storage is required. The space must be well-ventilated to prevent mildew or mold growth. Adequate lighting is essential for clear visibility. The floor should be level and clean.
Special Handling: Trade records are considered moderately fragile. All records should be stored within protective sleeves or folders. Padding (bubble wrap or foam) should be used for individual document bundles, particularly those containing multiple pages. Handle records with care to avoid bending or tearing.
Stacking/Shelving: Records can be stored on sturdy, adjustable shelving units. Shelves should be spaced no more than 18 inches apart to allow for easy retrieval. Pallet storage is acceptable if records are properly protected and stacked no more than 48 inches high.
Access Requirements: A standard 12ft wide loading dock is required for easy access. The warehouse door should be at least 8ft wide for efficient movement. A minimum clearance of 3 feet around shelving units is necessary for forklift access. A secondary door of 6ft width is also beneficial.
